Get the assignment right first
Confirm the candidate, client, start date, end date, pay schedule and rate unit before hours are submitted. Distinguish pay from charge. An approval workflow cannot compensate for unclear commercial terms, so give someone responsibility for checking those details.
Make approval ownership explicit
Agree who submits each period and who approves it on the client side. Decide how a rejection is communicated and who resolves disputed hours. Give the agency a view of the status so a missing approval can be followed up without opening several inboxes.
Generate billing from approved work
In Rekro, eligible approved timesheets can generate client and self-billing invoice pairs using the assignment’s charge and pay rates. Finance can then review the relevant invoice details and move the documents through the configured approval workflow.

Treat corrections as part of the process
Hours and terms sometimes change. Review the source record before regenerating an editable invoice. Once an invoice is locked, use the supported void-and-reissue flow rather than silently overwriting the document already sent. Keep the replacement linked to the earlier invoice.
